The Philadelphia Bar Foundation/Equal Justice Center is hiring for an Administrative Assistant.

Summary 

The Administrative Assistant supports the staff of the Philadelphia Bar Foundation in their work to advance the mission and strategic goals of the Foundation and the Philadelphia Equal Justice Center, Inc. The Administrative Assistant provides direct support for all Foundation and Equal Justice Center activities.

Responsibilities 

The Administrative Assistant is responsible for:  

  • Managing assigned tasks, priorities, and time efficiently.
  • Managing basic office administration including phone, mail, office supplies and inventory.
  • Supporting, scheduling, and tracking meetings for the Board of Trustees and all Foundation and EJC Committees including preparing agendas and recording notes. 
  • Maintaining up-to-date physical and virtual recordkeeping as required. 
  • Data processing and bookkeeping tasks concerning revenue received and payments to be made in accordance with established procedures.
  • Providing the Executive Director with administrative support for the Foundation’s grantmaking, including the application process, site visits, decision making, and post-grant reviews. 
  • Supporting all efforts for the Foundation’s programs and awards, as well as large- and small-scale events for the Foundation and the Equal Justice Center. 
  • Working closely with the Director of Operations on all aspects of both organization’s operations including financial, fundraising, grantmaking, programs, awards, procurement, and reporting.
  • Providing administrative support, including donor management and communications, for fundraising efforts to meet annual and long-term revenue goals for the Foundation and the Equal Justice Center. 

Qualifications

Minimum 2 years administrative assistance or office management or relevant professional experience required. Demonstrated ability to communicate effectively both orally and in writing. Experience with the Microsoft Office Suite of products or equivalent software.  Knowledge of Salesforce CRM, QuickBooks, and accounting preferred, but not required.

Special Demands

Occasional evening event attendance required and transportation of marketing materials to offsite locations (less than 20 pounds).
